The most tedious job in purchasing
Your supplier sends an invoice. It has 40 lines of product names, codes, barcodes, quantities and prices. To get it into Shopify, someone types every line into a purchase order, finds each matching product, and checks the totals.
It takes 15 to 20 minutes for a normal invoice, and much longer for a big one. It's also where mistakes creep in: a wrong quantity, a missed line, a cost typed into the wrong product.
What Procuro AI does instead
You upload the supplier's invoice PDF. Procuro AI reads every line and gives you a purchase order to review. Here's what happens, step by step:
- Set up the invoice. Pick the supplier, the currency, and whether this supplier invoices in units or cases.
- Upload the PDF. Procuro AI reads the supplier name, invoice number, date, currency, total, and every line item.
- See the cost before anything happens. Procuro shows how many lines it found and whether they're covered by your plan, before you continue.
- Map to your Shopify catalog. Each line is matched to your products by barcode, then SKU, then name.
- Review and confirm. Confident matches go in a Matched list; anything uncertain goes to Needs Review, where you confirm it, pick a different product, or create a new one.
- Finish the PO. Add currency conversion, discounts, landed costs and taxes, exactly like any other Procuro PO.
How fast is it?
In our own testing on real supplier invoices:
| Invoice | Pages | Lines | Time to read |
|---|---|---|---|
| Small grocery supplier | 1 | 18 | About 25 seconds |
| Large grocery distributor | 22 | 349 | 2 minutes 29 seconds |
The large invoice above would take hours to type by hand. You can also leave the page while Procuro AI works, and come back to the finished result.
Cases and units, handled for you
Many suppliers invoice in cases, while you sell units. If an invoice says 5 cases packed 12 to a case for $248.65, Procuro AI records 60 units at about $4.14 each, and keeps the line total exact.
When a pack size is ambiguous, like 4 x 6 x 300ml, Procuro flags it and asks you to confirm how many units are in a case. It never guesses a number that would throw your inventory off.
It gets better every time
The first invoice from a new supplier is the hardest, because Procuro hasn't seen their product codes before. Every time you confirm a match or create a product, Procuro remembers that supplier's code. The next invoice from them matches those lines automatically.
Unmatched lines are usually products that aren't in your store yet. Create them once, from a template, and they match on every invoice after that.
What it costs
Procuro AI is optional. No AI use means no extra charge. Every Procuro plan includes free AI lines each month: 30 on Starter, 50 on Standard, 100 on Pro, 250 on Enterprise, and 4,999 on Scale. After that, extra lines cost a few cents each.
You always see the cost before continuing, and nothing is charged until you click Continue. Manual and CSV purchase orders are never charged. During a free trial, AI use is capped at the plan's included lines (250 for Scale), never charged.
Try it on your next invoice
The next time a supplier invoice lands in your inbox, upload it to Procuro instead of typing it. Your plan's included lines are enough to see the difference on your first few invoices.
